2. Scope and applicable law
This Privacy Policy applies when you visit this website, contact Maison Helvetia, request information, enquire about a holiday property or service, or otherwise interact with us. We process personal data in accordance with the Swiss Federal Act on Data Protection (FADP/DSG). Where applicable, we also comply with the EU General Data Protection Regulation (GDPR), in particular when its territorial scope applies to our activities.
3. Personal data we collect
Depending on how you use our website or services, we may collect:
Contact and identification data: name, email address, telephone number, postal address, preferred language and, where necessary for a booking or a statutory registration, date of birth, nationality or identification details.
Enquiry and communication data: subject and content of your message, correspondence, requested services, preferences and information you voluntarily provide.
Booking and stay data: selected property, arrival and departure dates, number and names of guests, special requests, payment and invoicing information, guest registration information and communication relating to the stay.
Owner and business-client data: property and contract information, contact details, instructions, correspondence, invoices and payment records.
Technical and usage data: IP address, browser and device type, operating system, referring page, date and time of access, pages visited, language choice, cookie preferences and security or server-log data.
Analytics and cookie data: online identifiers and aggregated information about use of the website, if you consent to the relevant optional cookies.
Please do not send sensitive personal data through the contact form unless this is necessary and we have specifically asked you to do so.
4. Why we process your data
We process personal data only to the extent necessary for the following purposes:
to answer enquiries and communicate with you;
to prepare, conclude and perform bookings, property-management services and other contracts;
to organise check-in, check-out, cleaning, linen, guest support and local services;
to comply with guest-registration, tourist-tax, accounting, tax and other legal obligations;
to process payments, invoices, complaints, reviews and legal claims;
to operate, secure, maintain and improve the website and prevent misuse;
to measure website performance and understand visitor use, where consent is required and has been given;
to send information or marketing only where permitted by law or with your consent; and
to protect our legitimate business interests and the rights and safety of guests, owners, partners and Maison Helvetia.
Where the GDPR applies, processing is based, as appropriate, on taking steps at your request or performing a contract, compliance with a legal obligation, our legitimate interests, or your consent. You may withdraw consent at any time without affecting processing already carried out lawfully.
5. Website forms, cookies and third-party services
The contact form records your name, email address, optional telephone number, subject and message so that we can respond to your request.
The website uses strictly necessary cookies and a cookie-preference cookie. Optional functional, analytics or advertising cookies are used only according to your choices. You can change or withdraw your choices through the cookie settings and can also delete cookies in your browser. The cookie-preference cookie is stored for up to 12 months.
The website may use the following third-party services:
Google reCAPTCHA to protect forms against spam and abuse;
Google Analytics to measure website use, subject to the applicable cookie choice;
Google Fonts to display typefaces;
cdnjs/Cloudflare to deliver technical website resources;

Facebook and Instagram (Meta) when you follow our social-media links.
These providers may receive technical data such as your IP address, device information, page URL and date or time of access. When you leave our website, the privacy terms of the relevant third party apply. Some providers process data outside Switzerland or the European Economic Area. Where required, we use recognised safeguards, such as an adequacy decision or approved contractual clauses. We do not sell your personal data.
6. Who receives your data?
We share personal data only where necessary with property owners, booking platforms, payment and accounting providers, cleaners, linen or transport services, IT and hosting providers, professional advisers, public authorities and other service partners involved in an enquiry, booking or contract. Each recipient receives only the data needed for its task and must process it lawfully and confidentially.
7. How long do we keep your data?
We do not retain personal data for longer than necessary. As a general rule:
contact-form enquiries and ordinary correspondence: up to 24 months after the last contact;
unsuccessful offers or enquiries that do not lead to a booking or contract: up to 24 months after closure;
operational booking, stay and customer-service records: generally up to 5 years after the end of the stay or service, unless a longer period is needed for a claim or legal obligation;
contracts, invoices, payment records and accounting or tax documents: 10 years, or longer if required by law or pending proceedings;
marketing data: until you unsubscribe or withdraw consent, and otherwise deleted after 24 months of inactivity;
server and security logs: normally up to 30 days, unless longer retention is necessary to investigate a security incident;
cookie preferences: up to 12 months; and
analytics data: according to the configured retention period of the relevant analytics service, and only for as long as necessary for website analysis.
After the relevant period, data is deleted or anonymised unless continued storage is legally required or necessary to establish, exercise or defend legal claims.
8. Data security
We use appropriate technical and organisational safeguards to protect personal data against accidental or unlawful loss, alteration, disclosure or access. No internet transmission or storage system is completely secure; therefore, absolute security cannot be guaranteed.
9. Your rights and deletion requests
Subject to applicable law, you may request information about your personal data and ask us to correct, provide, restrict, object to the processing of, or delete it. Where processing is based on consent, you may withdraw that consent. Where the GDPR applies, you may also have a right to data portability and to lodge a complaint with a competent supervisory authority.
You may request deletion at any time by sending a simple email to info@maisonhelvetia.ch. Please indicate which data or interaction your request concerns. We may ask for reasonable proof of identity. We will act on the request unless the data must be retained for a legal obligation, an ongoing contract, outstanding payment, security matter or the establishment, exercise or defence of legal claims. In that case, we will restrict use of the data where appropriate and explain why it cannot yet be deleted.
In Switzerland, you may contact the Federal Data Protection and Information Commissioner (FDPIC). If the GDPR applies, you may also contact the competent data-protection authority in your country of residence.
10. Children
The website and our services are not directed at children acting independently. Booking and contractual enquiries must be made by an adult. Information concerning children is processed only where supplied by a parent, guardian or responsible booking party and where necessary for the stay or a legal obligation.
11. Changes to this Privacy Policy
We may update this Privacy Policy when our services, website or legal obligations change. The version published on the website, together with the stated update date, is the current version.
